1. Introduction

Decency Facilities Management (DFM) helps candidates find recruitment and employment opportunities with the businesses we work with, and helps those businesses find the workforce they need. This Policy explains what personal information we collect through our website, decencygroup.in, and our candidate portal — where you can register, apply for jobs, upload documents and track your applications — and what we do with that information.

It applies whether you're browsing our job listings, registering a candidate account, submitting a hiring requirement on behalf of a business, or simply getting in touch with a question. It should be read alongside our Terms & Conditions, which govern your use of the site more broadly.

2. Who We Are

We are Decency Facilities Management Private Limited, also known as DFM or the DFM Group, incorporated in 2017. We provide manpower, recruitment, and staffing services — connecting candidates with employers and businesses across warehousing, logistics, e-commerce and other sectors.

3. Scope of This Policy

This Policy covers personal information collected through decencygroup.in and the candidate and admin portal linked to it. It does not cover the websites, apps, or offices of the employers and recruitment partners you may be connected with once you apply for a role — once you interact with them directly, their own privacy practices apply, and we'd encourage you to ask them how they handle your information.

4. Information We Collect

The information we collect depends on how you use the site — whether you're just browsing, registering as a candidate, applying for a job, or sending us an enquiry.

Account and profile information

When you register a candidate account, we ask for your full name, mobile number, email address, city, state and pincode, your highest qualification, whether you're a fresher or your years of experience, and the skills you'd like to list on your profile. If you choose to, you can later add your current and expected salary from your profile page.

Recruitment and application information

When you apply for a job through our portal, we record which role you applied for, the date, and any cover note you choose to add. As your application moves forward, we keep a record of its status — for example, under review, interview scheduled, selected or not selected — along with interview details (date, mode and location) and any notes our recruitment team makes to manage that process.

Documents and identity information

Our document center lets you upload your resume, Aadhaar card, PAN card, a passport-size photograph, certificates and experience letters, as PDF or image files. We store the files you upload; we don't separately type the ID numbers on your documents into a database. See Documents You Upload below for more on how these are handled.

Enquiries and hiring requirements

If you use the enquiry form on our Contact page, we collect your name, mobile number, email and message. If you submit a hiring requirement on behalf of a business, we additionally collect your company name, contact person, the workforce you need, and any details you choose to share about the requirement.

Information collected automatically

When you register or sign in, our servers log details such as the IP address and browser/device information associated with that activity, mainly so we can secure accounts and spot suspicious activity. We do not run analytics, advertising, or tracking scripts on this website — we don't use tools like Google Analytics or Meta Pixel, and if that ever changes, we'll update this Policy to say so.

5. Cookies and Similar Technologies

We currently use cookies only to keep you signed in — not for advertising or analytics. When you log in, your browser stores an access token (kept for about a day), a refresh token (kept for about a week) and a small cookie with your basic profile details so the site can recognize you without asking you to log in on every page. These cookies are marked secure and restricted to requests from our own site, and are cleared when you log out.

Our Contact page embeds a Google Maps view of our office. Loading that map means your browser talks directly to Google, which may set its own cookies under Google's own policies — separate from anything we control.

We don't currently use analytics or marketing cookies of any kind. If that changes in the future, we'll describe the new categories here before they take effect.

6. How and Why We Use Your Information

  • To keep records needed for recruitment, administrative and legal purposes
  • To understand how our website and portal are used, so we can keep improving them

7. How We Process Recruitment Applications

When you apply for a role, your profile — name, experience, skills and any documents relevant to that job — is shared with the employer or recruitment partner behind that listing, so they can evaluate your application. Our recruitment team may also review your application internally before or alongside the employer's review.

You can track the status of every application you've submitted from your dashboard, and we'll let you know by email (and, where enabled, WhatsApp) when your status changes — for example, if an interview is scheduled or a decision has been made.

8. Communication With Candidates

We may contact you by phone call, email, or WhatsApp about your application, an interview, your account, or a role that matches your profile. Email is presently our main channel for account-related messages — registration, email verification, password reset, and application updates all go out this way. WhatsApp is a channel we're building out for recruitment updates and may not be active for every candidate today.

9. Who We Share Information With

Employers and recruitment partners

Sharing your profile with employers is how recruitment works — when you apply for a role, we share the relevant parts of your profile and documents with the employer or recruitment partner behind that opening, so they can evaluate, interview and, if appropriate, hire you. Where we're actively sourcing candidates for a client with a similar requirement, we may also share relevant profile information with that client or partner as part of the recruitment process. We share only what's reasonably needed for recruitment, placement, verification or communication purposes — we don't sell your personal information, and we don't hand it to unrelated third parties for marketing.

Service providers

We use a small number of third-party providers to help run this website and portal — an email delivery service to send account and application emails, and cloud hosting and storage providers (which may include Cloudflare R2, a cloud storage service) to keep our servers and your uploaded files running securely. These providers only process your information to deliver the service they're providing us.

Legal and safety reasons

We may disclose information where required by law or a valid legal process, to establish or defend a legal claim, or where we reasonably believe it's necessary to protect DFM, our candidates, or others from fraud, abuse, or harm.

10. Documents and Identity Information

We ask for documents like your resume, Aadhaar card, PAN card, photograph, certificates and experience letters because employers and recruitment processes often need them to confirm your identity, qualifications and eligibility for a role. Please upload only documents that belong to you, and only when a document type is actually requested on your profile.

Access to uploaded documents is limited to your assigned recruitment team members and administrators who need them to process your application — documents aren't publicly browsable, and every download link is individually generated and time-limited rather than a permanent public URL. Our team typically reviews new documents within 24 to 48 hours and can mark them verified, rejected, or request that you re-upload one with a note explaining why.

We keep your documents for as long as reasonably necessary for the recruitment, record-keeping and legal purposes described in this Policy. If you'd like a document removed, you can write to us at info@decencyfacilities.com — we'll act on reasonable requests where we're not required to keep a copy for recordkeeping or legal reasons.

11. Data Storage and Security

We use a number of technical and organizational measures intended to protect your information, including:

  • HTTPS encryption for data sent between your device and our servers
  • Passwords stored as one-way hashes, never in plain text
  • Access controls that separate what candidates, administrators and recruitment staff can see
  • Document downloads through individually signed, time-limited links rather than public URLs
  • Checks on uploaded files to confirm they genuinely are the file type they claim to be
  • Rate limiting and security headers to guard against automated abuse of our site

No website or storage system can be guaranteed completely secure. We use reasonable and appropriate measures to protect your information, and we keep reviewing and improving them, but we can't promise that a security incident will never happen.

12. How Long We Keep Your Information

We retain personal information for as long as reasonably necessary for the purposes described in this Policy — including recruitment, recordkeeping, responding to disputes, preventing fraud, and meeting legal or administrative requirements. Exact retention periods for different categories of data are something we intend to finalize and publish as our processes mature; until then, if you'd like to know what we hold about you or ask us to review it, contact us using the details in Contact Us.

13. Your Choices and Rights

You have a fair amount of control over your own information already, directly from the portal:

  • Update your profile — city, state, qualification, experience, skills and salary expectations — anytime from your Profile page
  • Change your email, mobile number or password from Account Security, by confirming your current password
  • Upload, replace, or track the status of your documents from your Document Center

For anything you can't do yourself in the portal — such as requesting a copy of the information we hold about you, asking us to correct something, withdrawing consent you've given us, or closing your account and deleting your data — write to us at info@decencyfacilities.com. We'll respond and act on reasonable requests, though we may need to keep some information where we're required to for recordkeeping, fraud prevention, or legal reasons, even after a deletion request.

14. Account Security — Your Responsibilities

Keep your password confidential and choose one that's hard to guess. Don't share your login with anyone else, and let us know straight away at info@decencyfacilities.com if you think someone else has accessed your account without your permission.

15. Children's Privacy

Our recruitment services are meant for individuals who are of legal working age under applicable Indian law — generally 18 years and above. We don't knowingly collect information from children, and our registration process isn't designed for use by minors. If we become aware that a minor has registered an account, we'll take steps to remove it.

17. Changes to This Policy

We may update this Policy from time to time as our practices, technology, or applicable law change. When we do, we'll update the "Last Updated" date at the top of this page, and where a change is significant, we'll try to give you a more direct heads-up through the website or by email. We'd encourage you to check back periodically.

18. Applicable Law

Our data practices are guided by applicable Indian law, including the Information Technology Act, 2000 and the rules made under it, and the Digital Personal Data Protection Act, 2023 together with the Digital Personal Data Protection Rules, 2025, which are being brought into force in phases. This Policy describes our practices in plain language — it isn't a claim of certified or complete compliance with every requirement under every applicable law, and we expect to keep updating both our practices and this Policy as this legal framework continues to take effect.
